The essentials to consider when selecting an ERP system

A key decision which can change the way you operate

Enterprise resource planning can transform your manufacturing operations, but choosing the right system is a difficult task. But with a good strategy in place that aligns your business objectives, supplier relationships, and existing system integrations, you can make the right call. Our ERP checklist offers practical guidelines to simplify the decision-making process and ensure your long-term success.

Clarify goals and requirements

STEP #1

Define your business needs and involve key participants

  • Identify key departments (like finance, or production) and their main challenges. Match these needs with ERP modules which directly relate to them.
  • Set up a cross-functional team to gather input, and gain commitment from the start. Keep lines of communication open and make sure everyone is on the same page.

Identify bottlenecks and strengths

  • Pinpoint existing operational problems and make sure the ERP system is equipped to handle them effectively.
  • Be aware of your strengths, to ensure the system can either maintain or improve them.

Set clear goals

  • Set specific goals (such as reducing costs, or speeding up production times).
  • Set measurable KPIs (key performance indicators) to track results.

Evaluate solution and provider

STEP #2

Focus on industry-specific functionality

  • Choose an ERP system that meets most of your needs without requiring large-scale customization.
  • Ensure the provider regularly updates functionality relevant to your industry and area of operation. For manufacturing companies, for example, a CSRD compliant sustainability report could be crucial.

Consider scalability, growth potential, and integration with existing tools

  • Make sure the system can handle increased volumes of data and additional users, and check whether it can adapt to expansion or an acquisition.
  • Make sure it integrates easily with your existing tools, like CRM or e-commerce.

Check the provider's reputation and the support they offer. Ask for references!

  • Check out the provider’s track record, financial stability, and any feedback from customers. Good support is crucial for troubleshooting problems and managing upgrades. Are there any testimonials from companies similar to yours?
  • Make sure the provider's consultants have relevant industry experience.

Testing and implementation planning

STEP #3

Ensure a project manager is in place

  • Your speaking partner during the implementation process who'll take overall responsibility for taking things forward.

Request demos and trials

  • Test the system in real-life scenarios, such as production planning.
  • Evaluate the system's interface and functionality.

Plan implementation and training

  • Draw up a timeline for data migration and system setup.
  • Make sure training resources are available (such as webinars, tutorials, and documentation). Follow a standard, tried-and-trusted implementation plan.

Consider the total cost of ownership

  • Include hardware, software, implementation, training, and maintenance.
  • Weigh upfront costs against long-term value.

Ensure long-term success

STEP #4

Does the provider have an experienced implementation team?

  • A team with a proven track record can make or break a successful implementation. Can they deliver the implementation on time and in line with budget?

How does the ERP system deliver return on investment?

  • Try to provide clear evidence the system can meet your performance goals, to ensure the investment is justified.
  • Outline how making processes more efficient can translate into financial return.

Long-term thinking

  • Choose a provider that will develop the system as your business grows. For example, do they support emerging technologies?
  • Make sure you receive ongoing support and system updates that dovetail with your strategy.

What's the next step?

More than just a tech upgrade

An ERP implementation is more than a regular technology upgrade, it’s a strategic decision that will impact every area of your organization. As you work through these steps, try to keep sight of your wider objectives and involve the right people every step of the way.

Look beyond short-term functional requirements and consider scalability, the credibility and reputation of the provider, and the capacity of the system to evolve along with your business. With good planning, clearly defined KPIs, and a solid change-management plan, you'll ensure your ERP system not only eases your existing operational headaches but also paves the way for long-term efficiency and growth.

Above all, remember that your ERP system should support the strategic goals of your manufacturing company, providing measurable return on investment and ongoing value as market conditions change.
